Plans, Directory Limits & Billing

How Parsonage plans are sized by directory people alone, what happens at a plan limit, and how church owners manage subscriptions and invoices.

What it is

Parsonage keeps pricing straightforward for church budgets: every plan includes every feature. You never have to upgrade just to unlock groups, pastoral notes, file attachments, service bulletins, calendar events, tasks, or church email. Plans differ only by how many people are in your church’s directory.

Available plans

  • Free ($0/month): Up to 20 people in the directory. Every new church starts here automatically with no credit card required.
  • Standard ($19/month): Up to 100 people in the directory.
  • Extended ($59/month): Up to 750 people in the directory.
  • Custom: More than 750 people in the directory. Contact us to arrange a plan tailored to your congregation.

What counts toward your plan limit

Only individual profiles in your church’s People directory count toward your plan limit. Your usage bar on Billing (/app/billing) shows your exact count (for example, 42 of 100 people).

What never counts toward your limit

  • Team logins: Pastors, administrators, and volunteers who sign in under Team (whether Owner, Admin, or Member) never count unless you also create a congregation profile for them in People.
  • Households & Groups: Grouping people into families or unlimited ministry groups, classes, and teams adds zero cost.
  • Activity & files: Calendar events, tasks, service bulletins, response forms, email broadcasts, notes, and note file attachments are all unlimited on every plan.

Who can view and manage billing

Billing is managed per church at Billing (/app/billing). If your login belongs to more than one church, each church has its own separate plan and subscription.

Owner
Can view the current plan and directory usage count, subscribe to Standard or Extended via Stripe Checkout, and open Manage billing to switch plans, update payment methods, download invoices, or cancel.
Admin
Can view the church’s current plan, directory usage bar, and renewal or cancellation status on Billing, but cannot start checkout or open Manage billing.
Member
Does not see Billing in the navigation menu and cannot view or change subscription details.

Subscribing, changing plans & cancelling

Subscribing to a paid plan

  1. Open Billing (/app/billing)

Sign in as a church Owner and open Billing from the account menu. Review your current directory count and the four plan cards (Free, Standard, Extended, and Custom). Any plan whose limit is smaller than your current directory shows Smaller than your directory so you can’t accidentally pick a tier that doesn’t fit.

  2. Choose Standard or Extended

Click Choose Standard or Choose Extended to open a secure Stripe Checkout page for your church.

  3. Complete payment in Stripe Checkout

Enter your church’s card or payment details in Stripe. Once complete, Stripe returns you directly to /app/billing and your church’s plan limit updates immediately.

Switching plans, updating cards & downloading invoices

Once your church has subscribed, an Owner will see a Manage billing button on /app/billing. Clicking Manage billing opens your church’s secure Stripe Customer Portal, where you can:

  • Switch between Standard and Extended: Upgrade as your congregation grows or move back to Standard if your directory is 100 people or fewer. Stripe automatically prorates the difference on your billing cycle.
  • Update your payment method: Replace an expiring credit or debit card. If a renewal payment ever fails (showing a past-due notice on Billing), Stripe will retry automatically and you can update the card under Manage billing.
  • View and download invoices: Access past billing statements and PDF receipts for your church bookkeeper or treasurer.

Cancelling a subscription

You can cancel at any time by clicking Manage billing on /app/billing and cancelling inside the Stripe portal:

  • Your paid plan stays active through the end of the current billing period, and Billing displays the exact date the subscription ends (and lets an Owner renew under Manage billing if you change your mind).
  • When the paid period ends, the church moves automatically to the Free plan (up to 20 people). None of your directory records, notes, groups, or history are deleted—if your directory has more than 20 people, existing records stay completely accessible while adding new people is paused.
