Tasks & Follow-Ups
Keep track of church to-dos and care follow-ups with due dates, assignees, and links to people, households, groups, and staff notes.
What it is
Tasks are shared church to-dos and pastoral care follow-ups. In a busy week of hospital visits, new-visitor phone calls, meal deliveries, and office errands, it is easy for a promised follow-up to live on a sticky note or in one person’s memory.
Parsonage gives your church team a single, calm list of what needs to be done, who is handling it, when it is due, and which people, families, or groups it involves—so nothing quietly slips through the cracks.
What it does
The Tasks hub at /app/tasks gathers every follow-up across your church and organizes open work automatically by urgency:
- Overdue — Open tasks whose due date has already passed, highlighted at the top so your team can catch up first.
- Due this week — Tasks due today or within the next 7 days. Once a task reaches its due date, its badge reads Due today.
- Later — Tasks scheduled more than a week out.
- No due date — Tasks without a deadline, kept together below dated work.
- Done — Switching the view to Done shows the 100 most recently completed tasks, recording the completion date and the name of the team member who checked each item off.
Connected to people, households, and groups
A single task can be attached to any number of People, Households, and Groups at the same time:
- People — The task appears on each attached person’s profile (both in the Open tasks preview on their overview and in their Tasks section), and shows a clickable chip that jumps straight to their record.
- Households — Attaching a household links the task to the whole family. The task automatically shows up on the person page of every member of that household, so anyone looking up either spouse or a child sees that the family follow-up is already underway.
- Groups — Attaching a ministry team, class, or committee lists the task right on that group’s page alongside its roster and upcoming events.
Linked back to staff notes and bulletin responses
Follow-ups often start when you are reading a pastoral note or reviewing Sunday morning submissions:
- From a staff note — When an owner or admin clicks Create task on a staff note, the new task is automatically attached to that person, household, or group and remembers its origin. For owners and admins who have permission to read the source note, the task displays an amber From a note on … chip linking back to the record holding the note.
- From a Sunday bulletin response — When visitors submit a connect card or prayer request on the mobile Sunday bulletin, editors can click Create task right on the response to schedule a welcome call or care follow-up. If you already matched the submission to someone in your directory, that person is pre-attached to the task automatically.
Who can see and edit
Tasks are designed as a shared team checklist so staff and volunteers can coordinate without stepping on each other’s toes.
- Owner & Admin
- Can view all tasks, create new tasks, edit any task’s title, details, due date, assignee, and attachments, mark any task done or reopen it, delete tasks, and see “From a note on …” chips for notes they are allowed to read.
- Member
- Can view all church tasks on the Tasks hub and on person and group pages, and can mark tasks assigned to them as done (or reopen them). Members cannot create, edit, or delete tasks, and never see staff-note source chips.
How to use it
Create a task from the Tasks hub, a person, or a group
Open the task form where you are working
Go to Tasks and click New task, or open any person’s or group’s page and click Add task in their Tasks section (which pre-attaches that person or group for you).
Describe what needs to be done
Enter a clear summary under What needs to be done (up to 200 characters), and add any helpful context in Details (optional).
Set an optional due date and assignee
Pick a Due date (optional) if the follow-up is time-sensitive, and choose a church team member under Assigned to (or leave it as Unassigned for anyone on the team to pick up).
Attach people, households, or groups
Under Attached to, choose Person, Household, or Group from the selector, then search for and pick as many records as apply. Click the × on any chip if you need to remove an attachment, then click Add task.
Create a follow-up task from a staff note or bulletin response
- From a staff note — On any person’s or group’s Staff notes section, click Create task on a note. The task form opens right underneath that note with the subject already attached, while leaving the task’s title and details blank so confidential note text stays private.
- From a Sunday bulletin response — In the Sunday bulletin’s Responses panel, click Create task on a visitor card or prayer request. A title like Follow up with… is suggested for you, and if the card includes a prayer request, Parsonage asks whether you want to copy that text into the task details before opening the form.
Filter, complete, edit, or delete tasks
- Filter the Tasks hub — Use the Open and Done toggle at the top of
/app/tasksto switch between active work and completed history, and use the Everyone’s tasks, Assigned to me, and Unassigned dropdown to focus on your own checklist or spot unclaimed items. - Mark a task done or reopen it — Click the circular check button beside any task you are assigned to (or any task at all if you are an owner or admin). On a person’s or group’s page, completed tasks tuck neatly behind a Show completed toggle so active follow-ups stay front and center.
- Edit or delete — Owners and admins can click the pencil button on any task to update its wording, due date, assignee, or attachments and click Save task. If a task was added by mistake, click Delete inside the edit form and confirm with Delete task (for normal finished work, mark the task done instead so it stays in your church’s completion history).
