Events & the Church Calendar

Schedule fellowship dinners, volunteer days, and multi-week drives, assign hosting groups, and pull upcoming events straight into the Sunday bulletin.

What it is

Events are your church’s shared calendar for everything happening beyond ordinary weekly rhythms—fellowship dinners, workdays, special worship services, youth retreats, and multi-day or multi-week collection drives.

Instead of re-typing the same announcement in multiple places, you enter an event once on the calendar and Parsonage automatically connects it to the hosting group’s page and makes it ready to drop into your Sunday bulletin.

What it does

The Events calendar at /app/events keeps current, upcoming, and past church life organized automatically:

  • Happening now — Multi-day events and drives that started before today and are still underway appear right at the top of the Upcoming view so ongoing collection drives never get buried under future months.
  • Grouped by month — Future events are grouped chronologically under their month and year (such as November 2026), with a calendar date tile, formatted days and times, location, and hosting group.
  • Past — Switching the toggle from Upcoming to Past lists the 100 most recently concluded events in reverse chronological order, making it easy to look back at last season’s schedule or copy an annual event forward.
  • Church wall-clock time — Event dates and times are stored as your church’s local wall-clock time without time-zone shifts, so a 6:30 PM Wednesday supper always reads 6:30 PM no matter where a staff member or congregation member happens to be traveling when they check the calendar.

Connected to hosting groups

Every event can optionally be assigned to an active church group under Hosted by:

  • The group’s name appears on the event row in the calendar and links directly to that group’s page from the event detail view.
  • On the group’s own page, the Upcoming events section automatically lists every current and upcoming event hosted by that group—and clicking Add event there starts a new event with that group pre-selected as the host.
  • Archived groups cannot be chosen for brand-new events, though an existing event keeps its historical host group even if that group is archived later.

Sunday bulletin & phone calendar integration

Your church calendar works hand in hand with the Sunday bulletin:

  • Pull into “Coming up” — In the Sunday bulletin editor, the Coming up section suggests uncancelled church events happening within 60 days of that Sunday so you can include them in the printed and mobile bulletin with a single click instead of copying dates and locations by hand.
  • Add to calendar (.ics) — On the mobile phone bulletin, congregants and visitors can tap Add to calendar on an event to download a standard .ics calendar file that opens right in Apple Calendar, Google Calendar, or Outlook with the event’s date, time, location, description, and What to bring notes included.

Who can see and edit

Owner & Admin
Can view all upcoming and past events, create new events, edit event details, duplicate an event to another date, cancel or restore an event, and delete events.
Member
Can browse all upcoming, ongoing, and past events on the Events calendar, open any event’s full detail page, and see a group’s upcoming events on its group page, but cannot add, edit, duplicate, cancel, or delete events.

How to use it

Add a one-day event or multi-day drive

  1. Start a new event

Go to Events and click New event, or open a group’s page and click Add event inside its Upcoming events section.

  2. Enter the event name and dates

Fill in Event name (for example, Fellowship dinner or Thanksgiving food drive) and choose the Starts date. For a single-day gathering, leave Ends on (optional) blank; for an event or drive that spans several days or weeks, pick the final day under Ends on (optional).

  3. Add optional start and end times

If the event meets at a specific hour, enter Start time (optional) and, if helpful, End time (optional). Leave both blank for all-day events or multi-week collection drives.

  4. Include location, hosting group, and what to bring

Add a Location (optional) (such as Fellowship Hall), choose a ministry or committee under Hosted by (or leave it on No group), and fill in What to bring (optional) (such as potluck dishes or pantry items) and Description (optional). Click Add event to publish it to the calendar.

Copy an event to another date (Duplicate)

When your church runs a recurring supper, monthly prayer breakfast, or annual drive, you do not need to re-type the description, location, host group, or What to bring list:

  • Open the existing event (from either Upcoming or Past) and click Duplicate in the top-right actions bar.
  • The Duplicate event form opens with every field pre-filled from the original event so you can copy it to another date—simply pick the new Starts date (and Ends on date if applicable), adjust anything that changed, and click Add event.

Cancel event vs. Delete

Plans sometimes change after an event has already been announced. Parsonage gives you two different ways to handle that depending on whether people already know about the date:

  • Cancel event — Click Cancel event on the event’s page when a scheduled gathering is called off (for example, due to weather). The event stays visible on the calendar with a strikethrough title and a red Cancelled badge so church members checking the schedule clearly see that it was called off, while automatically excluding it from the Sunday bulletin’s Coming up suggestions. If plans are back on, click Restore event at any time.
  • Delete — If an event was entered by mistake or is a duplicate you do not want on the calendar at all, click Edit on the event page, click Delete at the bottom of the form, and confirm with Delete event to remove it permanently.
